Il Passaggio (“we”, “us”, “our”) operates as a catering matchmaker service connecting Sydney hosts with vetted Italian caterers. This Privacy Policy explains how we collect, use, disclose and protect your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Effective date: March 2026 | Website: ilpassaggio.com.au
1. What Information We Collect
When you submit a catering enquiry through our website, we collect the following personal information:
- Contact details: your name, email address and phone number
- Event details: event type, date, location (suburb), approximate guest numbers, and budget range
- Catering preferences: dietary requirements, cuisine preferences, service style and any special requests you include in your message
We also collect standard technical data automatically when you visit our website, including your IP address, browser type, referring URL and pages visited. This is collected via our web hosting provider and is used solely for security monitoring and site performance.
2. How We Use Your Information
We use your personal information to:
- Match your event requirements with suitable caterers from our vetted network
- Share your enquiry details with 2-3 matched caterers so they can prepare personalised quotes for you
- Contact you to follow up on your enquiry or provide assistance with your booking
- Send you a confirmation email when your enquiry is received
- Improve our matching service and website
We do not use your personal information for direct marketing, and we do not sell your information to third parties.
3. Sharing Your Information with Caterers
Our core service requires sharing your event details with matched caterers. When you submit an enquiry, you consent to us forwarding your contact information and event details to up to three caterers from our network who are best suited to your event.
All caterers in our network have agreed to our Caterer Terms of Use, which require them to:
- Use your personal information only to prepare and communicate a catering quote for your specific enquiry
- Not retain your personal information after the quoting process is complete unless you engage them directly
- Comply with their own obligations under the Privacy Act 1988
Once you engage a caterer directly, your relationship — including how your information is used — becomes subject to that caterer’s own privacy policy.
4. How We Protect Your Information
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Our security measures include:
- SSL/TLS encryption for all data transmitted via our website (HTTPS)
- Restricted access to personal information — only staff involved in processing your enquiry can access it
- Secure hosting on Cloudways infrastructure in the Asia-Pacific region
Despite these measures, no data transmission over the internet is completely secure. If you have concerns about transmitting information to us, please contact us directly.
5. Data Retention
We retain your personal information for as long as necessary to fulfil the purpose for which it was collected. In most cases this means:
- Active enquiries: retained until quotes have been delivered and the booking decision is made
- Completed enquiries: retained for up to 12 months for quality assurance and service improvement purposes
- Technical/server logs: retained for up to 90 days
You may request earlier deletion of your personal information at any time (see Section 8).
6. Cookies and Analytics
Our website uses cookies — small text files stored on your device — to improve your browsing experience and understand how visitors use our site. We may use:
- Essential cookies: required for the website to function (cannot be disabled)
- Analytics cookies: used to understand page visits and traffic sources (e.g., Google Analytics). These do not identify you personally.
You can control cookies through your browser settings. Disabling analytics cookies will not affect your ability to use our service.
7. Cross-Border Disclosure
Some of our service providers may be located outside Australia (for example, email delivery services or cloud infrastructure). Where we disclose personal information to overseas recipients, we take reasonable steps to ensure they handle it in accordance with the APPs or a comparable privacy framework.
8. Your Rights — Access, Correction and Deletion
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Correct any inaccurate or out-of-date information
- Request deletion of your personal information (subject to any legal retention obligations)
- Complain if you believe your privacy rights have been breached
To exercise any of these rights, please contact us using the details in Section 9. We will respond to all requests within 30 days.
If you are not satisfied with our response to a complaint, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au/privacy/privacy-complaints.
